How to Log In and Connect Xero to Batchly

Batchly connects to Xero so you can sync authorised supplier bills, prepare payment runs and record payments and eligible credit allocations. This guide covers your first sign-in and organisation setup.

Before you start

  • Use a Xero account with access to the organisation you want to connect and permission to authorise the connection.
  • Have any authentication method required by Xero available.
  • Use a desktop or laptop browser for Batchly.

Step 1: Go to Batchly

Visit app.batchly.io.

Action: Click Continue with Xero.

Step 2: Sign in with Xero

You’ll be redirected to Xero. Sign in with your existing Xero account and complete any authentication prompts. If you are already signed in, Xero may use your existing session.

Enter your Xero credentials on Xero’s sign-in page. You do not need to create a separate Batchly password for this sign-in method.

Step 3: Authorise your organisation

When Xero presents the organisation selection and access request, choose the organisation you want to use with Batchly. Review the permissions and authorise the connection.

Follow the prompts back to Batchly. If the organisation is already connected, you may not see all of the first-time connection prompts again.

What access does Batchly use?

The Xero connection enables Batchly to:

  • Read organisation and bank-account information needed to prepare the payment workflow.
  • Sync bills, supplier contacts and credit notes, including the banking and email details used for payments and remittances.
  • Allocate eligible supplier credits when you complete the credit-allocation step, where available.
  • Record payments against bills in Xero when you complete Mark as Paid. A partial payment can leave a bill outstanding.
Connecting Xero does not pay your suppliers.

You authorise bank transfers through your own bank. Batchly’s file-based payment workflow does not require your internet banking login.

Step 4: Complete the initial setup

Complete any first-time onboarding questions shown in Batchly. The organisation setup then syncs bills and suppliers from Xero and checks the imported information.

Wait for setup to finish. If a sync error appears, follow the retry prompt rather than assuming setup completed. Once setup succeeds, continue to the Bills screen.

Step 5: Review your bills before paying

  • Confirm that the correct organisation is selected.
  • Review your authorised bills and supplier readiness warnings.
  • Correct missing or incorrect supplier banking details in Xero, then sync Batchly.
  • Confirm that Batchly supports your pay-from bank’s file format and payment currency.
  • Review the pay-from account and any required bank-file settings when starting your first run.

A successful connection does not mean every bill is ready to pay. Missing banking details, eligibility rules or bank-file requirements may still need attention.

Having trouble?

  • Organisation not available: confirm you signed in to the correct Xero account and have the required access. Ask your organisation’s Xero administrator if needed.
  • No bills showing: check the selected organisation, confirm there are authorised bills with an outstanding balance, clear restrictive filters and click Sync.
  • Setup or sync fails: review the displayed error and retry when prompted. Contact support if it continues.
  • Connection no longer active: follow Batchly’s sign-in or reconnection prompt to authorise access again.
